Electronic Visit Verification Solution for the Mississippi Division of Medicaid (MS DOM)

Mississippi’s Division of Medicaid (MS DOM) has partnered with FEI systems and HHAeXchange (HHAX) to help MS DOM homecare providers remain compliant with state and federal Electronic Visit Verification (EVV) laws, and ensure a simplified, user-friendly, and seamless experience.

Please note, Onboarding for State Plan Private Duty Nursing, Personal Care, and Home Health Providers is now underway.

Please review Mississippi’s DOM Phase II Kick Off Letter for an introduction to this implementation in partnership with FEI Systems and HHAeXchange.

State Plan Personal Care and Private Duty Nursing, and Home Health Providers: As part of this agreement, Mississippi DOM providers will have access to the complimentary HHAeXchange EVV Portal beginning December 11, 2023.

Waiver Providers: The complimentary HHAeXchange Portal went live in August 1, 2023.

The first step for all providers will be to fill out the Mississippi Medicaid – HHAeXchange EVV Provider Set Up Form to identify yourself as a provider in-scope for this implementation.

Selecting an EVV Solution for your Provider Agency

The EVV Provider Portal Set Up Form is designed to capture information about your provider agency necessary for MS DOM and HHAeXchange as part of the effort to implement collecting and reporting EVV compliant data.

As part of your participation, you have two options to ensure EVV compliance:

  • Option 1 [agencies currently without an EVV solution]: Sign up to use the complimentary HHAeXchange EVV Portal for services.
  • Option 2  [agencies currently using another 3rd Party EVV solution]: Continue to use your existing EVV system and import visit data into HHAeXchange using Electronic Data Interchange (EDI). Please review the EDI Process Tab for additional information on our EDI Process.
    • For Mississippi’s Division of Medicaid Waiver Providers who have selected this option please review your MS EDI DOM Welcome Packet

Importing Caregivers into HHAeXchange

(Note: This is not required for agencies using an EDI Import file to integrate with their 3rd Party Agency Management System) To assist organizations with a large census of Caregivers, HHAeXchange has created a Caregiver Bulk Import tool to expedite the entry process.   • Access and Save the Caregiver Import Template
  • Prepare the Caregiver import File for your Agency
  • Please follow these instructions in order for the EDI team to receive your file. Go to hhaexchange.com/supportrequest, from the support portal page please click on 3rd party integration support and submit a caregiver import request.

Interactive System User Training

Provider System User Training will be provided via the HHAeXchange Learning Management System (LMS). Providers will have to log on the Learning Management System to complete their training to understand the use of the HHAeXchange Provider Portal along with its functionalities. This training is required to ensure you have a clear understanding of the functionalities available to you in the HHAeXchange Provider Portal. The courses include a variety of videos, documents, and tests to help ensure you have a clear understanding of the different aspects of the Provider Portal to use for your EVV benefits.

Use the Learning Management System (LMS):

Receive LMS Credentials from the HHAeXchange Onboarding Team and follow instructions to complete the courses and videos on a self-paced format to complete.

  • An email will be sent to the Administrator that completed the Provider Portal Set Up Form
  • ONE Username will be sent for your Agency to use. Username can be distributed amongst all members of your agency to complete the assigned courses.
  • Login to the LMS website using the provided credentials in the email
  • Work on completing the courses by reviewing the information provided
  • Any updates made to the password should be distributed amongst all members who have access to the account
  • All providers can use our Client Support Portal to find answers to questions and create support requests, or contact us by phone 1-855-573-1521.

Importing Caregivers into HHAeXchange

Please note there is a minimum census of 50 (fifty) Caregivers in order to submit a request for a Caregiver Bulk Import.

FOB Assignment Process for Waiver Providers (ONLY):

  1. The Case Manager (CM)/Support Coordinator (SC)/Targeted Case Manager (TCM) will install the FOB with a security tie in the member’s home.
  2.  The CM/SC/TCM will submit a linking form to HHA.
  3. Once submitted, a request will be routed directly to HHAX Support to activate the device.
  4. The device will be activated within one (1) business day of the request being submitted.

EDI Billing Workflow Overview

EDI Providers choosing to integrate with a Third-Party EVV System are required to log into their HHAX Provider Portal to reconcile claims and submit accordingly.

EDI Providers must complete the Learning Management System Learning Plan to understand all workflows of our system including Billing and Administration. Please review your Learning Plan to understand EDI workflows.
