Electronic Visit Verification Solution for the Mississippi Division of Medicaid (MS DOM)

Mississippi’s Division of Medicaid (MS DOM) has partnered with FEI systems and HHAeXchange (HHAX) to help MS DOM homecare providers remain compliant with state and federal Electronic Visit Verification (EVV) laws, and ensure a simplified, user-friendly, and seamless experience.

Please review Mississippi’s Division of Medicaid EVV Kickoff letter for an introduction to this implementation in partnership with FEI Systems and HHAeXchange.

The complimentary HHAeXchange Portal will go live in August 1, 2023. As part of this agreement, Mississippi Division of Medicaid waiver providers will have access to the complimentary HHAeXchange EVV Portal.

The first step for all providers will be to fill out the Mississippi Medicaid – HHAeXchange EVV Provider Set Up Form to identify yourself as a provider in-scope for this implementation.

Additional Reminders:

To expedite a request for Provider Portal or Learning Management System Credentials, please submit the following information when submitting a ticket via our Client Support Portal at https://www.hhaexchange.com/supportrequest. Please submit your: Organization Name, TAX ID (required), Admin Email Address, Date you submitted the Provider Set Up Form

Provider Portal Set-up: Complete the HHAeXchange Provider Portal Set Up Form (if you have not already) to receive access to the HHAeXchange Provider System. You should receive your LMS credentials within 2-5 business days. Allow an additional 3-5 business days for your Provider Portal credentials

If you do not receive your credentials in the suggested timeframe, please submit a Support Request ticket on our Client Support Portal: https://www.hhaexchange.com/supportrequest

Importing Caregivers into HHAeXchange

(Note: This is not required for agencies using an EDI Import file to integrate with their 3rd Party Agency Management System) To assist organizations with a large census of Caregivers, HHAeXchange has created a Caregiver Bulk Import tool to expedite the entry process. Please CLICK HERE to access the Caregiver Bulk Import Process Guide, which provides instructions for how to:

  • Access and Save the Caregiver Import Template
  • Prepare the Caregiver import File for your Agency
  • Please follow these instructions in order for the EDI team to receive your file. Go to hhaexchange.com/supportrequest, from the support portal page please click on 3rd party integration support and submit a caregiver import request.

Selecting an EVV Solution for your Provider Agency

The EVV Provider Portal Set Up Form is designed to capture information about your provider agency necessary for MS DOM and HHAeXchange as part of the effort to implement collecting and reporting EVV compliant data.

As part of your participation, you have two options to ensure EVV compliance:

  • Option 1 [agencies currently without an EVV solution]: Sign up to use the complimentary HHAeXchange EVV Portal for services.
    • For Mississippi’s Division of Medicaid Waiver Providers who have selected this option please review your MS EVV DOM Welcome Packet
  • Option 2  [agencies currently using another 3rd Party EVV solution]: Continue to use your existing EVV system and import visit data into HHAeXchange using Electronic Data Interchange (EDI). Please contact [email protected] to begin your integration.
    • For Mississippi’s Division of Medicaid Waiver Providers who have selected this option please review your MS EDI DOM Welcome Packet

Provider System User Training Webinar Week

Training has concluded for System User Training. Please log into your Learning Management System (LMS) account to complete the required coursework.

Provider System User Training

Provider System User Training will be provided via the HHAeXchange Learning Management System (LMS). Providers will have to log on the Learning Management System to complete their training to understand the use of the HHAeXchange Provider Portal along with its functionalities. This training is required to ensure you have a clear understanding of the functionalities available to you in the HHAeXchange Provider Portal. The courses include a variety of videos, documents, and tests to help ensure you have a clear understanding of the different aspects of the Provider Portal to use for your EVV benefits.

Use the Learning Management System (LMS):

Receive LMS Credentials from the HHAeXchange Onboarding Team and follow instructions to complete the courses and videos on a self-paced format to complete.

  • An email will be sent to the contact that completed the Provider Portal Set Up Form
  • One Username will be sent for your Agency to use. Username can be distributed amongst all members of your agency to complete the assigned courses.
  • Login to the LMS website using the provided credentials in the email
  • Work on completing the courses by reviewing the information provided
  • Any updates made to the password should be distributed amongst all members who have access to the account
  • All providers can use our Client Support Portal to find answers to questions and create support requests, or contact us by phone 1-855-573-1521.

FOB Assignment Process:

  1. The Case Manager (CM)/Support Coordinator (SC)/Targeted Case Manager (TCM) will install the FOB with a security tie in the member’s home.
  2.  The CM/SC/TCM will submit a linking form to HHA.
  3. Once submitted, a request will be routed directly to HHAX Support to activate the device.
  4. The device will be activated within one (1) business day of the request being submitted.

What is HHAeXchange?

What are the benefits of the HHAeXchange Portal?

What if we have an EVV System that we’d like to keep?

It’s easy to connect your existing EVV system to the plans in Mississippi through the HHAeXchange Portal. Ensure that you’ve completed the Provider Portal Enrollment Form, and the HHAeXchange Integrations Team will coordinate with you to create an interface to process your existing EVV visits and claims.

Which application should I download for my agency and caregivers to use?

Please note that agencies and providers should be downloading the classic HHAeXchange app as described in the Apple Store and Google Store. Please refer to the Go-Live Support Webinar offered on July 25 and July 28 to review.

What information will each plan send to my agency through the HHAeXchange Portal?

Each plan will send placements, authorizations, plan of care, and all communication through the HHAeXchange Portal. Plans may send additional information as they deem necessary.

How will my agency bill to each plan?

All claims will be created through the HHAeXchange Portal and sent electronically via an 837 eBilling file. Agencies will then receive an 835 eRemittance file back into the HHAeXchange Portal.

Can I check my claims before submitting them to each plan?

Yes. The HHAeXchange Portal provides a Pre-billing Claims Scrubbing module designed to ensure that your claims are compliant with the authorization for each plans contract.

Will I need a separate Portal for each plan?

No. You’ll only need one Portal to connect or placements, authorizations, communications and billing.

Can I schedule my caregivers through the HHAeXchange Portal?

Yes. You’ll be able to schedule your caregivers through the HHAeXchange Portal either by creating schedules based on the authorization provided or through automatic creation of schedules based on EVV data imported into the HHAeXchange Portal from your 3rd party EVV system. However, advance scheduling is not a requirement for logging visits in the HHAeXchange system.

How will I be trained on the HHAeXchange Portal?

Can I Import and Export data into the HHAeXchange Portal?
Continue to use your existing EVV system and import visit data into HHAeXchange using Electronic Data Interchange (EDI). Please contact [email protected] to begin your integration.
