HHAeXchange & VillageCareMAX Partnership

VillageCareMAX has partnered with HHAeXchange to roll out an Electronic Visit Verification (EVV) solution for providers delivering managed care options and community services to people living in New York.

Starting October 1, 2026, all providers in the VillageCareMAX network will be required to submit EVV data through HHAeXchange.

Through the HHAeXchange platform, providers will be able to receive new, PCA, CDPAP and home health aide cases, manage authorizations, and confirm visits, with VillageCareMAX.

HHAeXchange also offers a robust agency management solution that can help streamline and automate time-consuming agency functions, including:

  • Patient/member placement
  • Scheduling
  • EVV compliance
  • Billing and payment

Getting Started with Your Provider Portal

If you’re already an HHAeXchange Provider Portal user, feel free to skip this section.

Please register for portal access by August 31, 2026.

Portal vs. 3rd Party EVV Vendor

You have two options when it comes to your EVV vendor:

Option 1: Use the HHAeXchange EVV Portal at no cost.

Option 2: Continue using an existing EVV vendor that integrates with HHAeXchange to transmit visit data.

NOTE!

If your current EVV vendor does not integrate with HHAeXchange, you will need to either:

  1. Use the HHAeXchange EVV Portal or
  2. Switch to a vendor that meets the integration requirements.

Info Sesssions

HHAeXchange hosts information sessions to help you get comfortable (and confident!) using HHAeXchange’s EVV system and features, meeting implementation requirements, navigating training resources, and understanding next steps.

EDI Overview

Thank you for your participation in working with HHAeXchange on the Electronic Data Interchange (EDI) project for your agency.

Below you will find information about the general requirements and steps to take to successfully integrate your Agency Management System with HHAeXchange.

HHAeXchange coordinates directly with VillageCareMAX to ensure members and, if desired, authorizations are passed directly into the HHAeXchange system. Once this data is in the HHAeXchange system, a unique member key is created which HHAeXchange will pass to your Agency Management System to ensure seamless processing of member information between the systems.

HHAeXchange will also give you a unique Provider Agency ID to include in all files used in the EDI processes.

In order to integrate between your Agency Management System and HHAeXchange, you will need to create the EDI files corresponding to the HHAeXchange specifications.

These important sections of the Knowledge Base will help you successfully integrate with HHAeXchange:

  • V5 Flat File –Includes EDI code tables, EDI Payer Configuration and Requirements Tables, the EDI File Format Validation Portal, and more.
  • Getting Started with EDI – Covers requesting your EDI setup, completing vendor testing, getting production credentials, and monitoring rejected visits to keep your integration running smoothly.

  • Prepare the Caregiver import File for your Agency
  • In order for the EDI team to receive your file, go to hhaexchange.com/supportrequest
